Terms of Service

Last updated: July 21, 2026. Please read these terms carefully before using our society management platform.

Contractual Agreement

By downloading, accessing, or registering on our mobile application or web portal, you agree to comply with these Terms of Service. These terms apply to all residents, flat owners, tenants, management committee members, and security personnel.

1. Account Registration & User Identity

To access community features, you must register an account linked to your verified mobile number and flat details:

  • Accuracy: You agree to provide accurate, current, and complete flat ownership or tenancy details during onboarding.
  • Account Security: You are responsible for safeguarding your login credentials and OTPs. Any action performed through your account is considered your responsibility.
  • Approval: Resident accounts (owners and tenants) are subject to verification and approval by the society's Managing Committee or Admin.

2. Maintenance Payments & Billing

Our platform facilitates online collection of society maintenance dues, amenities bookings, and penalty fees:

  • Payment Processing: Transactions are routed securely through licensed third-party payment gateways. We do not store financial credentials like UPI PINs or credit card numbers.
  • Convenience & Gateway Charges: Applicable gateway processing fees or taxes, if any, will be clearly disclosed prior to payment confirmation.
  • Reconciliation & Late Fees: Society maintenance due dates and late payment penalty interest are governed by your society's official bylaws and committee policies.

3. Gate Pass & Security Operations

The platform provides visitor logs and gate approval tools to enhance housing complex security:

  • Pre-approvals & OTPs: Pre-approving visitors or delivery personnel generates temporary entry codes. You are responsible for ensuring codes are shared only with intended guests.
  • Staff Logs: Attendance tracking for domestic staff, daily maids, and vendors is logged at the main gate for resident convenience and safety records.

4. Community Guidelines & Acceptable Use

When using notice boards, community chat, forums, or raise-a-complaint ticketing tools, you agree NOT to:

  • Post abusive, defamatory, discriminatory, or unlawful content targeting neighbors or committee members.
  • Send unsolicited commercial advertisements or spam notices without prior written committee approval.
  • Misuse emergency security alert buttons or log fraudulent visitor requests.

5. Service Availability & Modifications

While we strive for 99.9% uptime, access to the platform may occasionally be suspended or restricted for system upgrades, server maintenance, or unexpected technical issues. We reserve the right to modify platform features and update these terms as needed.


6. Limitation of Liability

Digital Society is a technology platform that provides digital tools to assist residential societies, residents, management committees and security personnel in managing community operations. Digital Society does not itself operate or control the physical premises of any housing society.

To the maximum extent permitted by applicable law, Digital Society shall not be responsible or liable for any loss, damage, injury, dispute, theft, security incident, unauthorised entry, property damage or other physical or consequential event occurring within or around the society premises, where such event results from the actions or omissions of residents, visitors, security personnel, society staff, vendors, contractors, management committees or other third parties.

Digital Society is also not responsible for service interruptions, delays, errors or failures caused by circumstances beyond our reasonable control, including:

  • Internet or network failures.
  • Cloud hosting or infrastructure outages.
  • AWS or other cloud-service interruptions.
  • Firebase or other third-party technology failures.
  • SMS, email or WhatsApp delivery failures.
  • Payment gateway, banking, UPI or financial-institution failures.
  • Mobile network or telecommunications failures.
  • Device, operating-system or browser compatibility issues.
  • Incorrect, incomplete or outdated information provided by users or society administrators.
  • Unauthorised access resulting from compromised user credentials, OTPs, devices or accounts.
  • Cyberattacks, malware or other security incidents despite reasonable security measures.
  • Scheduled maintenance, upgrades or emergency maintenance.
  • Government restrictions, regulatory actions or changes in applicable law.
  • Natural disasters, fire, flood, power failure or other force majeure events.

Third-Party Services

Certain features of the Platform depend upon third-party service providers, including cloud hosting providers, payment gateways, SMS providers, WhatsApp services, Firebase and other technology providers.

Where a service is provided or processed by a third party, Digital Society does not control the availability, performance, policies or technical operation of that third-party service. Any failure, delay, interruption or error caused solely by such third-party service shall not be considered a failure of Digital Society.

Society Responsibilities

The society, its management committee and authorised administrators remain responsible for the accuracy of society information, resident records, visitor approvals, security procedures, billing rules, penalties, maintenance policies and other decisions made or implemented by the society.

Digital Society provides the technology to facilitate such activities but does not replace the responsibilities of the society, its management committee, security personnel or other authorised persons.

No Guarantee of Continuous Availability

Although we make reasonable efforts to keep the Platform available and reliable, we do not guarantee uninterrupted, error-free or continuous availability of the Platform.

The Platform may occasionally be unavailable due to maintenance, upgrades, technical problems, security measures, third-party failures or circumstances beyond our reasonable control.

Maximum Extent Permitted by Law

To the maximum extent permitted by applicable law, Digital Society shall not be liable for indirect, incidental, special, consequential or punitive damages, loss of profits, loss of business, loss of data or other consequential losses arising from the use of or inability to use the Platform.

Nothing in these Terms is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.
